Music Parents of LPCI – Purpose and Structure

Purpose

The “Music Parents of LPCI” supports and promotes LPCI music programs, provides a forum for the sharing of music-related information among the parents of music students, shares information about the music program with LPCI parent council, supports LPCI Music Department fundraising initiatives, and discusses matters involving the LPCI music program.

Structure

The “Music Parents of LPCI” exists as a sub-committee of the LPCI Parent Council, and as such shares the overarching Constitution and By-Laws of the Parent Council.

The Chair of the “Music Parents of LPCI” shall sit as a member of the Executive Committee of the Parent Council.

Meetings

  • Three times a year: October, January, and May.
  • Extraordinary meetings can be scheduled by the chair(s) if needed. Any member may request an extraordinary meeting with a written request to the chair(s).

October meeting

  • Welcome and educate new parents about the LPCI music program.
  • Compile a database of parent contacts.
  • Discuss department plans for the year (eg. performance trips and fundraising plans).
  • Address program concerns, fundraising, and support as required.
  • Formally elect a chair, vice-chair and secretary for the school year by holding a vote. A simple majority of the members present shall determine the results.

This meeting shall be held after the annual music camp weekend.  It will be advertised in the music handout which is provided to each music student at the beginning of the school year, as well as the LPCI parent council email-newsletter.

January meeting

  • Provide information about course choice options for new and returning music students.
  • Provide information about (and discuss) summer music programs.
  • Address program concerns, fundraising, and support as required.

This meeting shall be held in early January. It will be advertised by direct email to those who attended the October meeting, on the Winter Musicale program, and in the parent council email-newsletters at LPCI, Glenview, and Bedford Park.

May meeting

  • Recruit executive members for the following year.
  • Discuss other miscellaneous topics such as instrument purchase and maintenance.
  • Address program concerns, fundraising, and support as required.

This meeting shall be held after the May Lyrics concert. It will be advertised by direct email to those attending prior music meetings, on the May Lyrics program, and in the LPCI parent council email-newsletter.

Membership

  • All parents of LPCI music students and LPCI music teachers are members.
  • Any other interested parents or community members may join.
  • LPCI music students are welcome to attend meetings.

Roles and Responsibilities of Members

Officers

Three “officers” are elected or acclaimed for each school year – a chair, a vice-chair, and a secretary. These officers provide continuity and structure for the group and its meetings. Because the group does not handle money, no treasurer is required.

No individual shall hold the same position for more than two years. It is customary for the Vice-Chair to become the Chair in the following year.

Chair*

  • Liaise with music teachers, LPCI administration, LPCI parent council, and others as needed.
  • Plan and chair meetings.
  • Represent the group as necessary.
  • Draft and sign correspondence approved by and sent on behalf of the group.

Vice-Chair*

  • Fills in for the Chair, as required.
  • Assists in the direction and coordination of activities, as required.

* The individuals in these two positions may decide to divide these responsibilities, subject to approval by the group.

Secretary

  • Create, disseminate, and archive agendas, notices, and minutes.
  • Record and archive any correspondence sent on behalf of the group.
  • Establish and maintain a parent contact database.

Parents of LPCI Music Students

  • Attend meetings as desired.
  • Suggest agenda items and share information.
  • May serve in an elected position.

Music Teachers

  • Provide information about the music ensembles and programs.
  • Initiate and oversee fundraising initiatives and collect and allocate all funds raised.
  • At least one music teacher will attend each meeting.

LPCI Music Students and Other Interested Parties

  • Attend meetings as desired.

Reporting

The Chair shall be responsible for liaising with both the Principal and the Parent Council Chair with regard to the activities of the committee. The Chair shall serve on the Executive of the Parent Council and provide updates to the council at regular meetings.

The Chair shall be responsible for liaising with the music teachers in order to apprise them of the activities of the council, receive relevant music-related information, and to discuss plans and goals for the council.

The secretary shall file approved meeting minutes with the office staff in the main office along with the Parent Council Minutes.

Note:  Any reference to “parent” in the above document shall be understood to mean “parent or guardian”.
